How to Manage Contacts with Segments

Segments help you organize contacts into targeted groups that share specific attributes — such as a tag, job status, or pipeline stage — so you can personalize communication and reporting.
1. Accessing the Segments Page
To access the Segments page:
- Go to the Marketing Dashboard.
- From the header’s dropdown menu, select Marketing Dashboard.
- In the green menu on the left, click Segments.
This opens the Contact Segments page, where you can view, create, and edit your contact segments.
2. What Are Segments?
A segment is a filtered list of contacts that share one or more characteristics.
For example:
- Contacts tagged as High Priority.
- Clients with Full-Time Employment.
- Leads who became clients in the past 30 days.
Segments can be used throughout LeadCenter, including:
- Sales Pipeline and Contact Dashboard filters
- Workflows
- Email marketing campaigns
- Text marketing campaigns
By creating meaningful segments, you can automate communication and analyze specific client groups effectively.
3. Creating a New Segment
To create a new segment:
- Click New Segment on the Segments page.
- Give the segment a name — for example, Working Clients.
- Assign it to a category, such as Operations, to make it easier to organize and find later.
4. Setting Up Segment Filters
You can build segments using multiple filters with flexible logic:
- AND conditions narrow the results (contacts must meet all criteria).
- OR conditions broaden the results (contacts can meet any of the criteria).
Example:
To find full-time clients who have become clients:
- Add a condition: Stage → Exactly Matches → Became Client.
- Click Add, then select Job Status → Exactly Matches → Full Time.
- Click Save.
LeadCenter will instantly calculate the number of contacts that match your criteria — for example, “3 contacts found.”
5. Using Segments in the Sales Pipeline or Contacts Dashboard
Once a segment is created, you can apply it anywhere filters are available:
- Go to the Sales Dashboard.
- In the left menu, click Pipeline or Contacts.
- Click All, then open the Filters section.
- Select Advanced Filter.
- Under Saved Segment, search for and select your segment — for example, Working Clients.
- Click Apply.
The system will then display only the contacts included in that segment.
6. Managing Existing Segments
To edit an existing segment:
- Click the Edit button next to it on the Segments page.
- Adjust its filters or category as needed.
- Click Save to update it.
The system will automatically refresh the contact count based on the new criteria.
