How to Automate Confirmation Emails for Seminar Attendees

This guide explains how to automatically send confirmation, cancellation, waitlist, and appointment request emails to event attendees based on their registration status in LeadCenter.ai.


1. Accessing Event Email Confirmation Settings

To begin setting up automated event emails:

  1. Go to the Events page in LeadCenter.
  2. Locate the event you want to configure.
  3. Click on the event link to open its Edit page.
  4. From the left-side or top menu, select Email Confirmations.

This section allows you to set up automated emails for each registration status.


2. Supported Attendee Registration Workflows

LeadCenter automatically tracks attendees and can trigger different emails depending on how they were added to the event.
Attendees can be registered through:

  • API integrations (e.g., LeadJig, LeadingResponse, Financial Seminar Services)
  • Manual additions via the Contact Actions menu in LeadCenter
  • Website event registration forms (public-facing registration pages)

Regardless of how the attendee was added, LeadCenter manages the workflow and sends the appropriate automated email.


3. Configurable Email Types

You can configure distinct emails for each attendee registration status:

  • If they are cancelled, the cancellation email is sent automatically.
  • When they are marked as attended, a thank-you or follow-up message can be triggered.
  • If they request an appointment, a dedicated email template can be sent confirming their request.

You can customize each email template to match your brand and tone.


5. Managing Event Capacity and Waitlists

LeadCenter supports automatic capacity tracking:

  • Suppose the event capacity is set to 100 attendees.
  • The first 100 confirmed attendees will automatically receive the confirmation email.
  • The 101st registrant (and beyond) will instead receive a waitlist email, informing them the event is full.

This feature ensures smooth, hands-free event management without manual monitoring.


6. Automatic Lead Creation

When attendees register, LeadCenter automatically checks if each attendee already exists in your contact list:

  • If the attendee does not exist, a new lead is automatically created in your Sales Pipeline, associated with the event as the source.
  • If the attendee adds a guest not in your contact list, a new contact is also created for that guest and linked to the same event.

This ensures your CRM remains up to date with minimal effort.


7. Viewing and Managing Event Registrants

To review registered attendees:

  • From the Events list, click the number of registrants displayed on the right side of the event row.
  • This opens a detailed attendee list showing each registrant’s status, contact information, and associated guests.
  • Registrants also appear in your Sales Dashboard, linked to their event record for easy tracking.
