How to Create and Use Appointment Templates

In this guide, you’ll learn how to create and manage appointment templates in LeadCenter.
Appointment templates help streamline the scheduling process and ensure standardized meeting details across your team, promoting consistency and saving time.


What Are Appointment Templates?

Appointment templates are predefined meeting setups that include details like:

  • Subject and description
  • Location and meeting category
  • Confirmation email templates

They make it easy to create new appointments that follow a consistent format, reducing manual entry and ensuring that meetings across your firm use standardized naming and descriptions.


Step 1: Access the Appointment Templates Page

  1. Click your name in the upper-right corner of LeadCenter.
  2. Select Settings.
  3. Navigate to the Workflow and Templates tab.
  4. Click Appointment Templates.

This will open the Appointment Templates page, where you can create and manage templates for different types of meetings.


Step 2: Create a New Appointment Template

  1. Click New Template.
  2. Enter a name for the template — for example, First Visit – Not a Client
  3. Choose a category to help organize templates within the system.
  4. Define the subject — for example: Investment Strategy Meeting
  5. Add a description, such as: We’ll review your investment strategy.
  6. Specify the location, meeting category, and any additional options needed.
  7. (Optional) Select a confirmation email template that will automatically send to clients when the appointment is scheduled.
  8. Click Create Appointment Template to save.

Step 3: Use the Appointment Template

Once your template is created, it becomes available whenever you schedule a new appointment in LeadCenter.

When you open your calendar and create an appointment:

  1. Select a contact.
  2. Choose the appointment template you created.

The system will automatically populate:

  • The subject
  • Description
  • Zoom link (if applicable)
  • Category
  • Confirmation email template

You’ll only need to set the date and time before saving.
