How to Understand All Appointments Report

This report provides a detailed view of all types of appointments, whether they’re with clients or prospects, across your entire firm.


Understanding Appointment Reports in LeadCenter

In LeadCenter, there are several appointment reports designed to track client engagement and conversion:

  • First Appointment Report – Tracks first appointments with new prospects to measure conversion into clients.
  • All Appointments with New Prospects Report – Tracks not only the first appointment but also the progression to the second, third, fourth, and beyond.
  • All Appointments Report – Gives a comprehensive overview of every appointment type, covering meetings with both clients and prospects across your firm.

Accessing the All Appointments Report

To access the All Appointments Report:

  • Go to the Sales Dashboard.
  • Click on Reports.
  • From the Reports page, select Appointments, then choose All Appointments Report (with Clients and Prospects).

This will launch the full report view.


Report Filters and Overview

At the top of the report, you’ll find a Filter Section where you can:

  • Set the time period you want to review.
  • Filter by appointment type to focus on specific kinds of meetings.

The top of the report displays key totals, including:

  • Appointments Scheduled
  • Appointments Kept
  • Appointments Canceled
  • No Shows

Charts and Data Visualizations

Below the summary section, the report includes three main charts that break down appointments by:

  1. Category – Displays types of appointments such as client reviews, new prospect meetings, or service calls.
  2. Lead Stage – Shows which stage of the sales pipeline each appointment corresponds to.
  3. Office Location – Provides a breakdown of appointments by location to help you analyze team or branch performance.

Timeline and Capacity Reports

Scroll further down to view:

  • A Timeline of Appointments, which displays appointment trends over time.
  • A Capacity Report, showing each Appointment Host along with the number of appointments scheduled and kept.

This section helps visualize advisor workloads and client engagement across your firm.


Appointment Details and Drill-Downs

The lower portion of the report displays a full list of appointments contributing to the report.

Example:
If you want to focus on a specific category, such as Client Reviews, you can quickly see how many were held during the selected time period.
For instance:

  • 99 Client Review Appointments were scheduled.
  • 89% were kept, totaling 88 completed appointments.
  • The report also displays the clients who attended and a timeline of those meetings.

To drill down into a specific advisor’s meetings:

  • Click on their name to see how many client reviews they held during the selected period.

Adjusting the Time Frame

To narrow down the time frame:

  • Click on the Date Filter at the top.
  • Open the Advanced Filter to set a custom date range.

Examples:

  • To focus on this month’s activity, select This Month and click Apply.
  • To view the full year, choose January 1 – December 31, 2024, and click Apply.

The report will refresh to display data for the selected range.


Exporting and Resetting the Report

You can:

  • Download the report as a PDF for sharing or archiving.
  • Click Reset Filter to return the report to its default view.
