How to Use Event Reports
Hello, my name is Chris. In this article, you'll get an overview of Events Reports in LeadCenter. These reports help you track event performance, measure conversions, and analyze attendee insights all in one place.
Accessing the Events Reports
To access the Events Reports:
- Go to the Sales Dashboard.
- Click on Reports.
- Select Events from the list.
- From the Events tab, click on Events Report.
This opens a report dashboard that brings together data from all your events and seminars into one centralized view, displaying key performance metrics and attendee information.
Report Overview and Filters
The Events Report includes key metrics such as:
- Event Conversion Rate
- Total Event Cost
- Total Attendees
- Appointments and Conversions
To view specific data, you can filter by date.
For example:
- Select Last Year and click Apply to update the report for that time period.
At the top of the report, you’ll find a filter section.
By default, it shows only Completed Events unless you change the status.
To include Scheduled Events as well, adjust the event status filter.
You’ll also see a Date Filter, which controls the time period displayed in the report.
For example, you can select a full year, such as January 1 to December 31.
Summary Statistics
Below the filters, you’ll see summary statistics pulled from both the Events and Event Attendees tables.
This includes:
- Total number of events scheduled or completed during the selected period
- Total number of attendees registered
- Total marketing spend
For example, narrowing the view to completed events might show:
- 8 Events Completed
- Total Attendees Registered
- Total Marketing Spend
The attendance status cards below summarize how attendees responded:
- Attended
- Cancelled
- No Show
- Requested Appointment
- Scheduled Appointment
- Confirmed
- Cancelled by Us
- Waitlisted
These boxes display attendee statuses based on how each event was configured.
Appointment and Conversion Tracking
It’s important to note:
- Requested Appointment and Appointment Scheduled data come from the Events Table.
These are not actual booked appointments in the calendar.
On the right side, the report shows conversion metrics, including:
- Conversion of event attendees to appointments
- Conversion of attendees to clients
- Conversion to amount issued
Details:
- The First Appointment Set and First Appointment Kept cards pull data from appointments categorized as First Visit – Not a Client.
- The Became Client card shows how many attendees converted to clients in the sales pipeline after attending an event.
- The Amount Issued card shows the total account value issued for those clients.
Visual Charts and Timelines
Scrolling down, you’ll see several visual charts in the report:
- Event Timeline – Displays when events occurred throughout the period.
- Event Type Timeline – Breaks down events by type (e.g., Webinar, Retirement Workshop).
- Event Expenditure Timeline – Shows how much was spent on events over time.
- Attendees Timeline – Displays monthly attendee counts for completed events.
Filtering for Specific Event Data
You can apply additional filters to focus on specific event types or time periods.
Example:
To view all Retirement Workshops completed last year:
- Apply the Event Type filter for Retirement Workshops.
- The report will update to show:
- Number of retirement workshops completed
- Total attendees
- Conversions (first appointments set and kept)
- Number of clients who converted
- Total amount issued
