Overview of Sales Pipeline Report

This report is one of the most important tools for evaluating the health of your marketing and conversion process — from initial lead capture to client conversion.


Accessing the Sales Pipeline Report

To access the report:

  • Click Reports from the left-side menu.
  • Then click on Sales.
  • Scroll down and select Sales Pipeline Report.

The Sales Pipeline Report provides a detailed analysis of:

  • The number of leads received.
  • Where those leads originated (source, campaign, or channel).
  • How effectively those leads converted into appointments and clients.

Using Filters and Timeframes

You can filter the Sales Pipeline Report by different criteria or dimensions.
For example, selecting a longer date range updates the report to show how many leads were received during that period.

It also breaks down the total leads received across key timeframes:

  • Year to Date (YTD)
  • Month to Date (MTD)
  • Week to Date (WTD)
  • Leads Received Yesterday
  • Leads Received Today

Conversion Metrics

One of the most valuable insights in this report is the conversion rate — showing how leads move through your funnel.

You can see:

  • How many leads converted into first appointments.
  • How many of those appointments were kept.
  • Both as raw numbers and conversion percentages.

This data helps you measure how effectively your marketing efforts turn leads into real client interactions.


Lead Creation Timeline

Below the summary section, you’ll find a timeline chart showing lead creation by month.
You can adjust the view using the arrows to see data by:

  • Day
  • Month
  • Quarter
  • Year

This flexibility helps you analyze trends at the level of detail you need.


Visual Charts and Lead Insights

Scrolling down, you’ll find four visual charts that display leads by:

  1. Source – Where the leads originated (e.g., YouTube, Google Ads, Facebook).
    • Example: 24% of leads came from YouTube, while 16.9% came from Google Ads.
  2. Campaign – Which marketing campaign generated the leads.
  3. Stage – How many leads are in each stage of your sales pipeline.
    • Example stages: New, First Appointment, Re-engaged, Became Client, or any custom stages you’ve defined.
  4. Medium – The channel through which each lead was captured (e.g., website form, phone call, calendar booking, or email redirect).

Lead Capture and Automation

In LeadCenter, leads can be automatically captured from multiple sources, including:

  • Website forms
  • Phone calls
  • Calendar appointments
  • Emails
  • Events and other connected systems

This automation ensures all leads are tracked consistently in your pipeline.


Three-Dimensional Data Views

Further down the report, you’ll see three-dimensional charts showing relationships between:

  • Lead Source or Campaign and Pipeline Stage
  • Account Source and Status (Issued, Pending, or Forecasted)

Example:
You can see how many leads from YouTube are currently in each stage — New, Attempting, First Appointment, Pending, and so on.

You can also use the toggle buttons above these charts to filter between Issued, Pending, and Forecasted Accounts.
In a live pipeline, Issued Accounts typically appear under the Became Client stage, indicating successful conversion.


Exporting Data

If you’d like to use the data outside LeadCenter:

  • Click the three-dot icon in the top-right corner of the data table.
  • Export the data as CSV, Excel (CSV XLSX), or Google Sheets.

This makes it easy to share or perform additional offline analysis.


Applying and Resetting Filters

At the top of the report, the Filter Section lets you refine the data shown.

You can:

  • Focus on a specific marketing source.
  • Filter by lead owner.
  • Apply multiple filters at once (e.g., Stage = New + Source = YouTube).

The report updates automatically to reflect your selections.
Click Reset Filter to clear all filters and return to the default view.

You can also click directly on any chart element — such as the “New” stage — to instantly filter the report by that segment.
