This guide explains the core functionalities of LeadCenter as a Financial Advisor CRM, including managing contacts and households, filtering data, handling tasks, notes, and documents, and managing client communication.

This module sets the foundation for more advanced sessions in the series.


1. Home Screen & Dashboard

  • Role-based security will allow better control over visibility for internal employees.
  • Sales and Operations Dashboard: Default login view showing key widgets (customizable per user).
  • Servicing Advisor View: Simplifies the interface by hiding marketing menus (e.g., events, forms, email campaigns).
  • Widgets can be repositioned or customized, with additional functionality coming in future releases.

2. Contacts & Households

LeadCenter centralizes all contacts and households in one table:

  • Contacts Page vs. Pipeline Page:
    • Contacts page: Access all contacts, including those removed from the pipeline.
    • Pipeline page: Shows contacts actively in the sales process.
  • Households:
    • Consolidated view for all contacts under a household.
    • Includes appointments, tasks, notes, and accounts for the head of household and all members.
  • Companies: Optional module for B2B relationships; supports deals and contact associations.

Tip: Use households to manage shared activities, track accounts, and simplify reporting.


3. Searching for Contacts

Filters help narrow results by category, client status, or custom fields.

Top Menu Search: Instant search across contacts, appointments, and tasks.

Contact Page Search: Manual search with full name (middle names are not recognized).


4. Contact Details Page

The Contact Details Page surfaces the most relevant information:

  • Basic Info: Primary contact information and notes.
  • Intelligence Fields: Phone, email, and form intelligence.
  • Important Fields: Know Your Clients (KYC), financial fields, and account details.

Servicing Advisor View: Focuses on upcoming activities, minimizing unnecessary marketing info.


5. Duplicates & Data Hygiene

Special considerations for shared emails among spouses-system handles deduplication intelligently.

Duplicate contacts are flagged based on email or phone number.

Identified duplicates can be merged from three locations: icon, ribbon, or duplicates page.

Best Practice: Check duplicates at least monthly to avoid sending duplicate emails or tasks.


6. Filtering & Segmentation

  • Simple Filters: Quick filters for fields like client status or category.
  • Advanced Filters: Access all contact and custom fields for sophisticated filtering (e.g., investable assets > $700k).
  • Contact Segments:
    • Reusable across workflows, email campaigns, and events.
    • Example: “Duplicate Clients” segment identifies active clients with duplicate records.

Tip: Segments improve team efficiency by prioritizing high-value contacts.


7. Tasks, Notes, and Documents

  • Tasks:
    • Can be assigned to contacts, with priority, due date, and estimated duration.
    • Supports bulk updates, privacy settings, and task lists for organization.
  • Notes:
    • Can be added to contacts, converted into tasks, and downloaded as PDFs.
    • Claudi AI and Zoom integration can generate notes automatically.
  • Documents:
    • Upload documents directly to the contact record.
    • Private by default-ensures compliance and client privacy.
    • Multi-document upload coming soon for efficiency.

Tip: Use task lists to organize onboarding, RMD planning, or operational activities. Future updates will integrate project management.


8. Know Your Clients (KYC) & Related Contacts

  • KYC: Track professional contacts, interests, keywords, and identification fields.
  • Related Contacts: Expand beyond professional contacts to include spouses, family members, or associates.

Database lists allow advisors to add professions, interests, or tags in real time.


9. Custom Fields & Financial Data

  • Agreements and strategic allocation models can be stored at the contact or account level.
  • Custom field designer allows full control over field placement, labels, validation, and display.
  • Financial fields capture total assets, non-liquid assets, income, liabilities, and banking info.
  • Financial Questionnaire integration automatically populates verified data.

10. Communication Management

  • Emails & Texts: Send from the contact record, using templates and Claudia AI for drafting and grammar checks.
  • Client Restrictions:
    • Opt-outs for email and SMS are enforced automatically.
    • Secure document portal ensures sensitive data remains private.
  • Notifications: Comments on tasks, notes, or activities trigger notifications for relevant users.
  • Future integration with Microsoft Teams will centralize notifications and collaboration.

11. Upcoming Features
